New things are happening at Colibo. As we work towards making our intranet a single page application, we have added some heavily requested features. Version 18.2 is proud to bring you..
Document Tagging and Search Filter
As an organization, you could have dozens of files in a work area. Digging through your document folder just to find one article can be exhausting. We have addressed this concern by allowing administrations to add Tags and Tag Groups. You can assign Tag Groups to any folder or page. If you want the Tag Group you created to be inherited by other items in your folder, you can add those tags directly to the items inside. Under Documents, select ‘edit’ under the action icon. Here you will find the tagging icon. You can create a number of tag groups and tags this way. It is important to know that in the document root or items with uninherited tags, there are no assigned tags.
To create Tag Groups, select 'Administer Tag Groups For This Area'. Here you When creating your tag groups, you may want to make sure the tags are inheritable, so all subfiles can use the already created tags. After this, you can select if you want several tags, or just one for your new Tag Group. You will then be given the option to create your tags now, or you can wait and come back to it later. After you create the tag groups and tags you want, select save. You can create multiple tag groups, allowing for more detailed searches. In the 'Gallery' display settings, you can see what tags are assigned to what files while searching.
The next step is to then actually tag the files you have in this folder. You do this the same way you created the first tags. Go into the file you wish to tag, select edit. If the tags you created in the document root are inheritable, you will see the tags you can choose from when you select the tag icon.
Here, you can select any and all of the tags you created from your document root.
Be warned, if you created a Tag Group that allows only one tag per item, once you choose that tag and save, you cannot remove the tag from the file without erasing the entire tag group.
Once you are finished here, you can return to your document root. You will see a new field called Tags, and the tag group(s) you created. To search for documents and files using this function, select the dropdown under your tag group and click on the tags you wish to look for. Any documents with those tags will show on the page. To clear the tagged items, click on the tag to unselect it.
Improved Phonebook Performance
The phonebook has been updated to a single page application, allowing for faster access to your colleagues' information.
Improved Notifications System
One of the biggest requests we have received is to make the notification system a little more 'user friendly'. We have revamped the system, and made work group notifications easier to track. Just click on your work groups icon and you will see the areas with new material, making it much easier to find the updates you are looking for.
The number of notifications will also appear on the right side, and will disappear after you click the Workgroup. As always, newly changed or updated items appear at the top of your feed, so you don't have to worry about missing the item.
Other Updates include:
- Retrieving deleted or achived Global Documents through the System Administrator function
We hope you are as excited about these features as we are. When using this new platform you may come across some issues. We are aware of these and are working on them now.
