There are times when an organisation needs to undergo a training program. There are other times when you would like to take a survey of who wants to go bowling on Friday night. This and more is available with the Surveys and Quizzes function. This new feature will allow users to create custom tests for employee training, planning events or just for fun!
Creating the Quiz:
Users can create a quiz in almost every area of the intranet. Global Documents, posts, news feeds, almost anywhere you wish! You can create a quiz on the home page by using the icon located at the bottom of your post.
Creating quizzes in the Global Documents is as simple as clicking into the Global Document and selecting the 'add' drop-down.
When first creating a quiz, you can decide if you would like the test takers to remain anonymous, allow users to take the test more than once, decide when or how users can continue to the next question, and choose if or how test takers view the results when finished.
When creating a quiz, select the 'add page' button located at the bottom left. Here you will have several options of which type of page you would like to create:
- Text Page
- Multiple Choice Page
- Participant Input
The Text page is a page of text that can be used to describe the quiz, provide details about certain elements, or hold information about the quiz that the test takers must study before the questions. The creator can add a title to each page if they wish, and the text table has all the available features you would expect to find when creating a news feed. This includes being able to use different formats, adding videos, pictures, tables and links.
The multiple choice page is exactly as it sounds. After the quiz creator has entered all the text information they want to share, they can use these pages to create the quiz questions. The creator will be presented with a title and text section, followed by a button to add answers.
Here the creator can add as many answers as they wish. All questions are multiple choice, and there must be a correct answer for each question, but quiz creators can also have multiple correct answers to a single question. Click the pencil icon to add an answer. After entering the answer, press enter and you will be given the option to click that this is the right answer. If it is, click the checkbox. If chosen when creating the quiz, you will be given the option to add feedback when an answer is chose. To save your question and continue, just press the 'add page' button and add another question or text page.
Participant input pages are for quiz creators to get feedback on the quiz, or any additional documents that may be needed. Creators can choose to have the feedback added as either a text field or a file to be uploaded.
When you are ready to finish, press the blue button located at the bottom right of the page to save and post it. Once posted, you can edit your quiz at any time by selecting the edit option located in the 'action' dropd-own. Questions and pages can be re-arranged by dragging the page and dropping it in the desired location. If the quiz is on your home page, you can edit the quiz by selecting 'edit' from the 'action' drop-down and clicking on the icon located on the quiz.
Quiz and test creators can get the results at any time by selecting the 'action' drop-down list and selecting either 'Download Results' or 'Participants and responses'. 'Download Results' will create an Excel file where you can see the results. If quiz participants uploaded some files during their test, a link to these documents will be available in the Excel file. Don't worry, user names or identification numbers will not be shown on quizzes where the testers are anonymous. Any user with editor rights to the area a quiz is located can edit the quiz or download the results.
Opening 'Participants and responses' will open a page where editors can see who has completed the quiz as well as the responses made to each page and the percentage of users who chose those responses. This provides users with a visual representation of the most chosen answers. The Participants and responses page is a useful tool in planning events and can provide team leaders with an overview of what areas their teammates might need help with. Quiz results can be downloaded from this page as well.
Questionnaires and their content can also be duplicated. This is great for quizzes that need to be taken annually. By copying the original quiz and using it as a template, creators can edit the necessary content and publish the test again instead of creating a brand new questionnaire from scratch. Just click the 'actions' drop-down and choose 'duplicate survey' to make a copy.
